19 Tips to prepare for a Corporate Shoot.

Looking for a photographer in Nairobi to do your company’s headshot? Here are some useful tips for you on how to organize the whole process step by step.

  1. BUDGET

Deciding on the amount of money you’re ready to allocate for the shoot is the most important thing to consider. We recommend to invest what you can afford. Done right the photos are good for the next 3 to 5 years. If you want photos as a part of annual company reports, profile or website design then professional high-resolution photos will do you justice. Corporate shoots are usually priced including all expenses of the photographer from assistant, travel, editing and consultation.

  1. PHOTOSHOOT SCHEDULE

It’s always better to plan the shoot in advance, at least 1 week before, but the earlier the better. You can share with us some of your ideas so that we can understand what you want to communicate with your photos or the preferred photo type. We will come up with list of recommendations to help you achieve what you want.

  1. STUDIO OR ON-LOCATION SHOOT

Choosing the right or most convenient location for the shoot is very important. If you have a lot of people that need their headshots done. I advise scheduling the shoot in your office space. A studio set up can be done in your workspace if you need a studio look. Doing the shoot in your workspace saves a lot of time when arrangement is done well. Apart from the studio look environmental headshots and portraits can be done indoors. Another option is doing outdoors of your workspace environment. This is good if you want to blend natural environment with the headshots.

  1. STYLE AND BACKGROUND  

I usually recommend planning of the shoot in advance. This will give your team members enough time to prepare for the shoot and you will have enough time to decide on the final look for the headshot photos. Background color is one of the key elements. If you’re not sure on what style of the headshots you want to do, we will guide you and help you to make the right choice.   1. RIGHT SPOT IN YOUR OFFICE

The right spot in your office for the shoot will matter a lot. In case of challenges picking the right spot, a photographer can help you in that. There is no need to worry about lighting as photographers are usually equipped with portable set up to bring out the best photos at any lighting condition. My favorite recommendation is to have an allocated space, like a board room or small hall since it will be more comfortable for your team members.

  1. NUMBER OF PEOPLE

Having a list of all the people for the shoot is a good thing. The list can be printed or be in softcopy. A printed list is my best recommendation since it makes it easier to keep the track of the process and can be used to create a timesheet with a specific time for each person. This saves a lot of time and eases the process.

  1. OUTFITS FOR THE SHOOT

This is usually subjective to any company style. It can be done as a conservative corporate look which involves tie, shirt and trouser for men or blouse, dress or suit for women. Some companies may prefer modern trend look or formal corporate look. It is not a good idea to wear some types of clothes for the shoot depending on their colors, busy patterns or layers of the same color unless it represents the style of shooting. We will help you pick the right color or dress code for your shoot. We advise to make sure your clothes are pressed and clean, trying of new clothes on before photoshoot, and having few accessories like watch at the time of shoot.

  1. MAKEUP AND HAIR SERVICES

Individual shoots usually include makeup and hair services but for corporate shoots is usually different especially if you have a lot of people. I usually recommend members to be prepared and come makeup and hair ready for the shoot. You can hire makeup artists for light touch up for each person, but please make sure to schedule the timing properly. On the other hand, we suggest make up to be done the right way and if its not possible without make up is still very ok. Wrong make up ruin ones look which is not something that should be portrayed in the final outcome.

  1. REMINDER

Please don’t forget to send reminders to your employees the day before the shoot and also send them the photographer’s recommendations. I recommend employees or members to sleep well before the day of the shoot.

  1. PHOTOGRAPHER’S INFORMATION

Please ensure to register photographer’s information with the security in your company so that they can come and set everything up on time.

11. TIME FOR THE SET-UP

It usually takes about 10-20 minutes for the photographers to set everything up. We always show up an hour before the shoot to make sure we’re all set and ready to go on time for you. If possible, we suggest offering water or snacks to the photographers.

  1. TIPS ON HOW TO RELAX AND FEEL COMFORTABLE DURING THE SHOOT

Photoshoot can be a stressful experience, especially with a corporate set up. It’s normal for people to feel uncomfortable Infront of the camera. Not sure how to pose? Camera shy? No worry, as a corporate photographer I have learned and mastered the art of guiding posing and coaching expressions and I promise to make clients feel more comfortable. I will be patient enough with a client so as to bring out their best side. I will tell you exactly what to do with your hands, how to pose, what angle works better and so on. I ensure to make people feel more relaxed and comfortable during the shoot.

  1. PHOTO SAMPLES

We will do a series of test photos before we start the actual shoot to make sure that everything looks exactly as you desire and confirm with your boss if he/she likes it.

  1. TIMING

On average, it takes about 6 minutes per person or less. It all depends on the setup.

  1. FINAL PICTURES SELECTION

We will be shooting tethered with a computer on site so photos will be visible on the computer screen as we shoot. We review the photos in real-time to make sure that you got the picture you like and we can mark it for retouching. A photographer will also help you in choosing the right photo for you.

  1. PHOTO EDITING PROCESS

Retouching services include making any necessary adjustments to skin texture, removing any imperfections, adding brightness to teeth, and everything else that you would like us to do. If you’re planning to use these photos for your corporate website, we can even work directly with your web designer to make sure all the requirements are met.

  1. EXTRA OPTIONS

We can always provide extra options for you, such as candid and group shots, that you can use as marketing materials. Alert us earlier in advance for arrangements.

  1. TURNAROUND TIME

Our turnaround time is usually 24hrs to 72hrs for small and medium companies and upt0 96hrs for big population companies. We can do it faster if you have a specific deadline, we don’t charge extra for that. All the services are included in our packages. We’ll send you a link to download all the digital files.

  1. DELIVERY OF PHOTOS AFTER THE SHOOT

Photographer will send you a link to download the digital photos from the shoot via email or WeTransfer.
